Friendly and Professional Phone System Scripts to Elevate Your Customers' Experience

Your customers' satisfaction is heavily influenced by their experience with your product or service. Improve that experience by using some of these phone scripts to improve your customers' experience and, in turn, improve your business. Here are some scripts you can use

WELCOME MESSAGES & MENU:

  • Thank you for calling [company name and slogan, if applicable.] If you know the extension of the person you are trying to reach, you may enter it at any time, or press 9 for an Employee Directory.  For Sales, press 1.  For Technical Support, press 2.  For Accounting, press 3. For our company address, email, and fax numbers, and how to reach us on the Internet, press 4, or press 0 to speak with an operator. 

  • You've reached [company name]. If you know the extension number of the person you are trying to reach, please enter it now. You can also email us at [email] or send us a text to this number. Please listen carefully to the following menu options. For Sales press 1, for Technical Support, press 2. To leave a voicemail, press 3.

  • Welcome to [company name]. Please listen carefully as our menu options have changed. Note that calls may be recorded for quality assurance or training purposes.  For sales, press 1.  For technical support, press 2.  For system emergencies, press 3.  For a dial by name directory, press 4.  To speak with an operator, press 0 or just remain on the line.  To hear these options again, press 9. 

  • Thanks for calling [company name].  Our office is currently closed. To report an emergency, press nine. Regular business hours are Monday through Friday from 8 AM to 5 PM, Eastern Time. If you would like to leave a message and you know your party's extension, please enter it now. Or to leave a message in the general mailbox, press 8 now.  

WE’RE BUSY- PLEASE LEAVE A VOICEMAIL

  • Hello! You’ve reached [Company Name]. Unfortunately, we can’t come to the phone right now. We appreciate your call! Leave your message at the tone and we’ll get back to you as soon as possible.

  • Hi there! You’ve reached [Company Name]! Our representatives are currently helping clients achieve [Company Goal]. For Halloween (humor) - Open

  • Our prices are so low it’s downright spooky! Come see what all the fuss is about at [Company Name], but if you can’t, leave your name and number at the BOO and we’ll get back to you.

For Independence Day (humor) - Closed

  • Happy Independence Day! We’re closed for the holiday. Please leave a message- but make sure to speak up over the fireworks! We’ll get back to you as soon as we can.

 For Thanksgiving (humor) - Closed

  • Turkey in the morning and turkey at night means we’re too stuffed to come to the phone right now. Leave us a message and we’ll get to you as soon as we can get up off the couch again!

For General Holidays - Closed
